Every corporation (sociedad) in Costa Rica should have an official means of notification on record, and increasingly that means a registered email address. It sounds like a small administrative detail, but it has real legal consequences.
What is the official email?
The official email is the address a company designates to receive formal notifications, whether from the courts, the tax authority, or other parties in a legal matter. When a notification is sent to that registered address, it is generally considered validly delivered, even if no one actually reads it.
Why it matters
Because notifications to the official channel count as received, an out-of-date or unmonitored email can be costly. Deadlines to respond to a lawsuit, an administrative process, or a tax requirement start running from the moment of notification. Companies have lost cases simply because the notification went to an inbox no one was watching.
Keep it current
If your company changes hands, its administrators, or simply its email provider, the registered address should be updated. Assign someone to monitor it regularly, and make sure your attorney can reach you the same way. A few minutes of upkeep prevents missed deadlines that can’t be undone.
